The purpose of this blog is to provide news and informative articles about TransPost.

TransPost is software for importing data into MYOB AccountRight Classic and MYOB AccountRight Live.

It provides the tools to automate the import process so that, as far as is possible, data flows into your accounts without having to lift a finger, using pre-set defaults and the available defaults from MYOB to extend the data as needed to fill everything in correctly.

Accountability – TransPost logs everything

Q: “MYOB AccountRight has the import assistant, so why should I use TransPost?”
A: The objective with TransPost is to import the data, as it comes, without lifting a finger.

TransPost offers:
  • More flexibility around the format of the data
  • Defaults to fill in gaps and derive data appropriately
  • Automation to the point where you need not lift a finger
  • Accountability – TransPost records everything

MYOB Import produces a log file, ‘MYOBPLOG.TXT’ if you use Classic Premier or Enterprise or ‘importlog.txt’ if you use AccountRight Live. This does contain a list of what was not imported with error codes but not the data imported. If you do not conscientiously move or rename it before the next import it will be overwritten. What can you do when you import a couple of files and then realise that there was a problem with the first import?

Automating Imports into MYOB

Using the MYOB import assistant entails stepping through a 3 step process every single time data is imported to select

  1. File Type to import (e.g. Sales- Item sales) as well as the file to import
  2. The format  i.e. Tab or Comma delimited and has it headings?
  3. Match Fields – this can be a complex step unless the file format has been carefully aligned to that expected

With TransPost all this information is encapsulated in a named ‘mapping’ which can be stored for re-use so it is as simple as selecting the file and the mapping and then clicking the Import to MYOB button.

Defaults and derived data values

TransPost uses appropriate defaults and calculations to fill in the gaps

When you enter data directly into MYOB many things default. There is no intrinsic reason why an import process should not do the same. For example, terms will default based on the Customer or Supplier card and Item price will default based on the Item Selling details. ( Update: AccountRight Live 2016.3 finally introduces defaulting of terms from cards but not much else)

If you do not enter a date, MYOB assumes you mean today. So does TransPost. Continue reading

Manipulating data just to fit a format is wasted effort and increases the risk of errors.

Create and save a ‘mapping’

The import assistant has requirements that need to be met every time you import. If the data you are importing does not arrive the way the import assistant requires it then you have to hand-match, or even hand-edit, for every requirement. Every single time you import. Continue reading

Upgrading to AccountRight Live – Will your data imports still work?

Problem: Imports do not work in MYOB AccountRight Live

If you regularly import data into MYOB using MYOB’s internal File, Import Data options then you will be in for an unpleasant surprise when you upgrade to AccountRight Live. A number of columns in the format have disappeared, and as a result, the data no longer lines up.

Solution: Use TransPost or TransPost Plus
